A step by step guide to 2012 IFLA 49TH WORLD CONGRESS
These are the steps you will go through to register for the 2012 Congress:
Please read this guide carefully and explore our website to make the choices that best suit you.
1.Required documentationPassports
- To Travel to South Africa, your passport must be valid for at least 30 days after the intended date of departure
- Passports should also have at least two blank pages for entry stamps.
- The blank pages cannot include the “endorsement” page at the back of the book.
- If you need a visa, you must ensure, that your passport has two blank facing pages – one for the visa and one for an entry stamp.
- Certain international delegates may require a visa to enter South Africa.
- You will be asked to indicate whether you require a visa invitation letter on the registration form.
- The 2012 IFLA organising committee will supply you with a letter of invitation once you have registered and paid successfully.

2. Registration FeesThe following is included in your registration fee:
- Admission to the 3 day congress 5 – 7 September 2012
- Arrival Refreshments | Mid Morning Refreshments | Lunch
- Attendance at the Opening Ceremony
- Technical Tours
- Access to the Exhibition
- All prices listed below are in South African Rand
Standard Registration rates applies for payments received after the 29th February 2012

Day Registration: Should you wish to attend the congress for a day, kindly register to do so before the 15th of August 2012. On site registration will be possible but will be subject to availability. Please find the rates for day registration below
The following is included in your day registration fee:- Admission to the congress on the day chosen to attend provided it is between the dates Of 5 – 7 September 2012

Social functionsAccompanying persons can join the Opening Ceremony and Farewell/Closing Dinner on presentation of a paid voucher. Opening Ceremony R250 | Farewell/Closing Dinner R450 per accompanying person
Pre and Post ToursPlease visit the website at a later stage to obtain information on the suggested pre and post tours as well as day tours that we will be showcasing.
4. Technical ToursTechnical Tours will be offered on the afternoon’s of 5th, 6th and 7th September 2012.
The same tours will be offered on each of the congress days.
You will be asked to indicate the choice of Technical Tours that you wish to sign up for by completing a separate registration form in due course.

5. AccommodationYou are welcome to make your own accommodation arrangements while in Cape Town. We have provided links on the website. Please look under the accommodation tab.
6. Special requestsAny dietary or physical requirements are to be indicated on the registration form.
7. Summary pageHere you will find a synopsis of your choices, the costs and the applicable terms and conditions.

8. Confirmation, payment and terms and conditions Registration terms- Prime interest rate will be charged for all post-event payments arranged with the organisers.
- Registrations will only be validated if all monies are paid in advance
- Registration fees are due 14 days from date of receipt of invoice
- Failure to honour the terms and conditions may result in your booking being released
- All cancellations must be received in writing. If received before 31 July 2012, a full refund will be passed less a 15% administration fee. After this date no refunds will be processed.
- No-shows and cancellations after 31 July 2012, will be liable for the full fee.
- Registrations are transferable to delegates not yet registered.

9. Invoice and your unique reference codeOnce you have completed all the steps, you will be issued with an invoice and a unique reference code.
Use this number by entering into the registration page (which will be provided in your confirmation email) at any point to check status, make changes, remove options or add ones. You will receive a copy of your booking within 24 hours.
